MBDS is seeking a welcoming, organised, and proactive Receptionist/Office Administrator for a 1-Year Temporary Contract to be the first point of contact for clients, visitors, and suppliers at our London studio.
Reporting to the Office Manager/PA to our Founder, you will play a key role in supporting the smooth running of the studio, ensuring an excellent first impression and providing essential administrative support across the business.
Key Responsibilities:
Reception (shared with our Receptionist)
Open and close the studio daily
Act as first point of contact for calls, voicemails, and enquiries
Greet visitors warmly, manage coats/bags, and offer refreshments
Maintain awareness of staff movements and manage the WFH calendar
Keep reception tidy and professional at all times
Arrange couriers (domestic and international), distribute post, and manage deliveries
Assist with monthly Amex reconciliation for Associates
Meeting Rooms (shared with our Receptionist)
Manage bookings and avoid scheduling conflicts
Ensure rooms are clean, presentable, and equipped for visitors
Prepare refreshments and materials as required
Oversee the Studio/Meeting Room email account
Office Administration
Onboard new starters: desk and IT setup, inductions, H&S training, itineraries
Coordinate leaver processes and equipment return/reallocation
Act as the main contact for IT issues and liaise with external support
Order and manage office supplies (stationery, kitchen, bathrooms)
Support the library team with sample storage and waste collections
Process monthly Uber/Deliveroo statements and assist finance where required
Support staff travel bookings (UK and international)
Manage staff software licences and subscriptions
Maintain and circulate up-to-date staff lists
Share Design Centre updates, maintenance visits, and facilities news
Approve and forward invoices to finance
Attend weekly management meetings to provide facilities updates
Coordinate staff events, social occasions, and gifts (leaving, maternity)
Liaise with suppliers for maintenance
Requirements
Proven experience as a Receptionist, Office Administrator, or in a similar role
Excellent communication and interpersonal skills
Proficiency in Microsoft Office, Outlook, and use of office equipment
Strong organisational skills with attention to detail
Ability to manage multiple tasks and prioritise effectively
Positive, professional, and approachable attitude
Prior H&S training experience preferred

MBDS has a vacancy for an ambitious and talented Midweight Designer with 3-6 years’ experience to work on high end Interior Design projects in the Restaurant and Hospitality sectors.
An extremely high-level of AutoCAD is a must and a proficiency in Photoshop and SketchUp is essential. Current USA building regulation knowledge as well as a comprehensive understanding of construction technology and a high level of FF&E, joinery and detailing is imperative. The individual should be a strong team player with good communication skills and the ability to coordinate, control and make decisions. A general all-rounder with both ID & FF&E skills.
The candidate should also:
• Be meticulous, highly organized and efficient.
• Be a team player able to support and contribute to a positive working environment.
• Be capable of clear communication; fluent in English, both written and verbal.
• Be proficient in AutoCAD, Photoshop, and InDesign as well as having knowledge of Sketch Up.
• Demonstrate confidence in sketching and presenting new ideas.
• Show experience of delivering neat, clear and accurate design information and schedules.
• Be able to confidently represent the Company externally and contribute to MBDS’s professional reputation and high level of attention to detail.
